New Hire Information

Welcome to the School Webmasters family! We hope you will enjoy your new job with us, and we hope to develop a long and happy relationship. To get started, please complete all of the listed documents in the appropriate section below. Please refer to the New Hire Docs section at the side of this page for links and forms.

Employees

Please upload to the new hire folder (use the link sent via email):

  • Offer of Employment Letter
  • Acknowledgement of Receipt of Employee Handbook (found in the Employee Handbook at the side of this page)

  • Acceptable photo ID as specified on page 4 of the I-9 form
  • W-4
  • State Withholding Form

If you do not have access to a fax machine, you may email forms to employment@schoolwebmasters.com. Please omit your Social Security number if emailing. We ask that you provide your Social Security number during new hire orientation.

Contractors

If you have problems uploading your documents to the file, you may email forms to employment@schoolwebmasters.com. Please omit your Social Security number if emailing. We ask that you provide your Social Security number during orientation.

What Time Is it?

Our clients, contractors, and our employees are spread across multiple time zones, and it can be difficult to convert “my time” with “your time.” To compound the problem, most U.S. states observe Daylight Saving Time, while Arizona does not. Since Arizona is where our company headquarters and about half of our staff are located, time differences will vary when the majority of the country springs forward or falls back on the second Sunday in March or the first Sunday in November.

Please remember that our “company time” is always Mountain Standard Time (or Arizona time) for staff meetings and deadlines. Use this nifty time conversion tool to determine what time this means for you. This will also be helpful to schedule appointments with clients when needed!

Address and Banking Changes

Are you moving or switching banks? Please notify us of any address or banking changes as soon as possible. You may find the appropriate links at the side of this page in the Resources section.

1099 and W-2

Employees may access paystub and W-2 information at any time with our payroll service, ADP. Upon your first visit to Run ADP, you will choose “Register Now” and follow the on-screen prompts. ADP will match the information you provide with our School Webmasters account, and you will set-up your own username and password. We will also send out paper copies of W-2 forms every January.

School Webmasters will send 1099 forms for contract work via e-mail every January. Please contact accounting if you do not receive a 1099 for contract services.
